The Clinical Engagement Team (CET) is a dedicated group within the Office of the Chief Medical Officer (OCMO) leading the charge to connect meaningfully with Aledade partner practices. We are looking for an experienced
Operations Administrator to join our team. You will perform a variety of administrative tasks including scheduling meetings managing calendar conflicts sending routine correspondence assisting with agenda tracking and note-taking during meetings arranging travel logistics and building materials to support clinical engagement in markets.

For this position you should be able to use your organizational skills to facilitate the effectiveness of our Clinical Engagement Team as you collaborate with clients and colleagues in a fast-paced environment. You should also have excellent verbal and written communication skills. You will be directly supporting four senior members of the team and providing administrative support to a group of regional medical directors.

Responsibilites:

  • Manage calendars including internal and external commitments including clinical engagements with partner practices. Ensure that schedules are optimized to promote collaboration and efficiency. Resolve meeting conflicts proactively.
  • Track agendas ensure comprehensive notes and manage action items follow ups and tasks on an ongoing basis.
  • Send routine correspondence to partner practices on behalf of regional medical directors.
  • Assist with virtual meeting management (Zoom rooms Google Meet breakouts etc.).
  • Partner with cross-functional teams both within and external to the OCMO.
  • Arrange travel itineraries and coordinate travel arrangements (hotels car rentals flights etc.).
  • Prepare and submit expense reports.
  • Building content decks for clinical engagement in the market including pulling market and practice-specific data from Tableau.
  • Ad hoc projects and other duties as assigned.

Requirements:

  • One year of experience as a Administrative Assistant or Executive Administrative Assistant
  • Passionate about health care and interested in making a positive impact in the field
  • Ability to prioritize multiple concurrent activities
  • Excellent verbal and written communication skills
  • Strong organizational and time-management skills
  • Attention to detail and problem-solving skills
  • Excellent customer service and interpersonal skills
  • Strong intuition for exercising discretion and confidentiality
  • Working knowledge of Google Suite
